EVENT COORDINATOR
Job Description

Reporting to the Events Manager, the successful candidate for the Event Coordinator position is responsible for providing entry-level support for multiple accounts. Work includes research, coordinating with vendors, assisting with event set up and tear down, and adhering to a budget in all activities.

DUTIES AND RESPONSIBILITIES:

Client management & event planning support

  • Assist with Client Onboarding;

  • Take notes on all internal and external meetings and distribute amongst the team

  • Assist management with developing event-specific strategies and workbacks for approval

  • Assist management with preparing budgets and provide periodic progress reports for each event project

  • Maintain and update existing contact databases

  • Assist management with keeping track of event finances

  • Campaign wrap reports

  • Assist management with all event/gifting logistics

    • Decor, Graphic Design, Venue selection and all vendor sourcing 

    • Secure and coordinate event staffing

    • On-site production and clean up for events

Agency Support

  • Works collaboratively in a team environment 

  • Successfully multi-tasks on several projects

  • Communicates regularly, promptly and calmly 

  • Respectfully takes direction from supervisors and managers 

  • Reviews event publications, social media and websites to identify event trends

  • Propose new ideas to improve the event planning and implementation process;

  • Identifies opportunities to market Burstyn Inc. events

  • Assists with Burstyn Inc. branded materials (ex. Packaging, mailing etc.), as well as gifting initiatives

  • Manages all Burstyn Inc. gifting initiatives and manages and maintains gifting lists (ex. holiday gifting, client thank yous);

Qualifications

  • Adept at creative thinking and idea generation

  • Bachelor's degree (B.A.) from a four-year college or university in event planning/management; or one to two years related experience

  • Events agency background and experience preferred. 

  • Virtual event and Luxury hospitality experience is considered an asset
